Meeting lifecycle

Every meeting has two lives. While it's active, people can join, leave, and see it in the cards you shared into your chats. Once it finishes it becomes inactive: read-only, kept under 💾 Your past meetings until you reactivate it, delete it, or the time Mitup keeps it for runs out. That button is where your inactive meetings live.

This page covers when a meeting switches from active to inactive, what happens to it then, and how long you have to bring it back before it's gone for good.

When a meeting becomes inactive

You don't mark a meeting as finished by hand. Mitup does it for you once the meeting's clock has run out and your grace period on top of it has passed. That grace period is your ⌛ Timeout setting: five minutes by default, a day at most, and you change it under Your settings. Which clock Mitup watches depends on the times you set:

  • Start and end time set. It becomes inactive once the timeout has passed after the end time. Start to end can cover a week at most, so a whole weekend away fits in one meeting.
  • Start time only. It becomes inactive once the timeout has passed after the start time. There's no separate duration that keeps it open.
  • No date at all. It stays active so you can still add a date later. If you don't, Mitup closes it out 90 days after you created it, or a year if you're a Gamemaster or a Commissioner. Bringing the meeting back from 💾 Your past meetings starts that count again.

A meeting with no end time closes right after it starts

If you set only a start time, the meeting doesn't stay open for the whole evening. It becomes inactive as soon as your timeout has passed. A board game night that starts at 20:00 with no end time and the default five-minute timeout is inactive by around 20:05.

To keep it joinable through the meeting, set an end time. Mitup then waits until after the end instead.

If you leave the bot

Leaving the bot, by blocking it or deleting your chat with it, doesn't pull you out of your meetings. You stay the owner of the ones you made and stay on the lists of the ones you joined, so the plans you set up don't fall apart the moment you step away.

Meetings with no date wind down sooner, though. One normally waits 90 days for you to come back and give it a date, or a year if you're a Gamemaster or a Commissioner. With you unreachable there's nobody to add that date, so Mitup closes the meeting a month after you created it or last brought it back. Once none of the meetings you own are active, and you're not holding a spot in someone else's, your account is cleaned up along with them.

If a month goes by and the only thing still tying you to Mitup is a spot in someone else's meeting, the bot keeps the spot and lets the rest go: the finished meetings you own are deleted, and your account reads like that of someone who only ever tapped ✅ Join in a group. Your name stays on that list until the meeting ends. Send /start before then and you're a full account again, with your language and timezone where you left them.

What happens when it becomes inactive

Becoming inactive is tidy, not destructive. Here's what changes:

  • The cards you shared into chats pick up a "finished" note and lose their buttons, so no one can still tap Join.
  • The meeting moves into your 💾 Your past meetings list, where you can still open it and read everything you wrote.
  • Its date and time stay exactly as you set them, so the meeting reads as it happened. Reactivating it later is what clears them.
  • The participant list is cleared. The gathering is over, so everyone's spot is released, and the temporary entries for guests you invited by name go with it.

Reminders around the start

Reminders are for the people who joined, not for you as the owner. They go out only to participants who have notifications on, and only when the meeting has a start time.

  • A reminder lands shortly before the start. How far ahead is each person's own choice under ⚙️ Settings then ⏰ Notifications, five minutes by default, and anyone can turn it off.
  • A second message lands when the start time arrives.

Both land in each participant's own timezone, so a meeting at 19:00 in Madrid reminds someone in Lisbon at 18:00 their time.

Reactivating an inactive meeting

A meeting isn't gone once it's inactive. Open 💾 Your past meetings from the main menu, pick the one you want, and you'll see it with two choices.

Tap Reactivate meeting and the meeting comes back as a fresh start, not a rerun. Everything you wrote stays: title, description, location, language, and every option you picked. The date and time are cleared, so the bot opens the edit screen and you set a new one for whenever you're doing this again. Lock on start goes with the times, since it needs a start time to mean anything.

The sign-up list starts empty: it was cleared when the meeting finished, guests you added by name included. Share the card into your chats again and everyone taps ✅ Join for the new round.

A reactivated meeting counts towards your active meetings again, and it's off the deletion clock described below. Until you give it a date it counts as a meeting with no date, which buys it 90 days, or a year as a Gamemaster or Commissioner, before Mitup closes it out again.

Deleting a meeting

You can delete an active meeting from its card with 🗑️ Delete, or an inactive one from the screen above. Either way Mitup asks you to confirm with ✅ Confirm before anything happens.

Deletion is permanent

Deleting a meeting removes it right away, with no grace period and no undo. The meeting, its participant list, and the invited-only guests attached to it are gone for good. If you might want it back, reactivate it instead of deleting it.

How long an inactive meeting is kept

An inactive meeting doesn't sit around forever. Mitup keeps it for 90 days, or a year if you're a Gamemaster or a Commissioner, counting from the day it became inactive. Then it's deleted permanently.

A week before that, the bot sends you a one-time heads-up naming the meeting, with a Reactivate meeting button so bringing it back is one tap away. Reactivating takes the meeting off the clock entirely, so the meetings that get removed are the ones left untouched for the whole window.

The deletion doesn't wait for the heads-up

The heads-up is a message from the bot, so it only reaches you if the bot can still write to you. If you blocked it or deleted the chat, the message doesn't arrive and the deletion happens on schedule anyway. Unblock the bot and send /start if you want to keep getting those.

Deleting a meeting yourself skips all of this. It's removed right away, as described above.
